How to use the recurrence creation module

Many businesses may have a need to create regular interventions.

For example, it is common for maintenance companies to carry out a weekly or monthly intervention, or for service companies to plan two interventions per year for the maintenance of equipment.

The platform has a tool for managing recurring interventions.

Step 1: Create a first intervention

The first step is to create an initial intervention that will serve as an example to be duplicated, a reference model intervention. This first intervention must be associated with a client and an address, and have a recognisable title. It can also be associated with a speaker.

This intervention should be associated with the date of the first planned intervention and then saved.

Step 2: Create the recurrence

Once the reference intervention has been created, access the intervention options menu from the flat key at the top right, then click on "Create a recurrence".

This quick access link allows you to pre-fill the recurrence creation interface.

Step 3: Set the recurrence

The recurrence tool has the following characteristics:

  • Title: the mandatory element to recognise what the recurrence corresponds to. It is possible to specify, for example, the name of the customer and the periodicity.

  • Type: to define that it is a recurrence of interventions.

  • Link with the element: used to select the recurring intervention that will be duplicated (this corresponds to the unique Organilog number of the "model" intervention or first intervention).

  • Frequency: choice of frequency (for example, weekly).

  • End date: essential to know the end date of the recurrence. A monthly intervention that lasts 1 year could have an end based on the number of occurrences of 11 repetitions (or based on an end date).

  • Number of occurrences: in the case of a recurrence per occurrence, allows you to define the number of occurrences at the end (if it is for example for one year, take into account that you have already created the first intervention so there are 11 occurrences left).

  • Next creation: allows you to define the next creation date of the intervention (the due date must correspond to the date following the date of the first reference intervention).

  • Generate document: allows you to define when the intervention should be generated and added to the planning and dashboard.

Once your recurrence has been set up, click on "Save".

You can view all your recurrences from the "Recurrences" menu located in the "Interventions" menu.

⚠️ Please note:

  • The recurrence will not be visible on the schedule

  • After adding a recurrence, you will have to wait 24 hours to see its creation in the list of interventions/invoices

  • Each day only one intervention will be created at a time
